Seminar Confirmation + Reminders (Email)
When someone registers for your estate planning seminar, the system sends a series of 3 automated reminder emails leading up to the event. These fire based on the event start time set in the system — no manual scheduling needed.
How the Sequence Works
Email | Timing | Goal |
Email 1 | 7 days before the event | Confirm the registration, set expectations, reinforce scarcity |
Email 2 | 3 days before the event | Friendly reminder, reinforce value, reduce cancellations |
Email 3 | 1 day before the event | Final reminder, drive early arrival |
These emails work alongside your personal phone calls. The automation keeps the event top of mind. Your call creates the commitment that actually gets people in the room.
The Emails
Email 1 — 7 Days Before the Event
Hi [Registrant Name],
We're looking forward to seeing you at the upcoming seminar [your seminar date/time/location].
Here are some of the things we'll discuss at the seminar:
- Ways to help organize your assets for smooth distribution to your loved ones
- Strategies to help reduce the potential tax impact on your estate
- Steps to work toward preserving your legacy for future generations
Your spot has been reserved just for you, limiting availability for others who may wish to attend. We encourage you to bring along a spouse or significant other. If an emergency prevents you from attending, please notify us at {{location.phone}} at least 24 hours in advance, so we can open up your spot to someone on our waiting list.
Sincerely,
[Your Name] [Your Email] [Twilio Phone] [Email Signature] [Financial Disclaimer]

What You Need to Do
The emails run automatically once the event start time is set in the system. Your job is the phone calls.
Call immediately after the RSVP. The prospect just registered — they're in "yes mode." Call while it's fresh.
Call again the day before the event. Use the headcount framing: "I'm just finalizing our count for the venue." It gives the call a clear purpose and makes it easy for them to pick up.
Call until you get a live conversation. Voicemail alone is not enough. Spread attempts across different times — morning, midday, and early evening all work.
Important: Compliance Note for Estate Planning Attorneys
Estate planning attorney accounts may require bar compliance approval before ads can run. This is handled during onboarding, but if a new campaign is launching, confirm approval status before the event is submitted. Bar approval can take up to 20 days — factor this into your event timeline.
Pipeline Stage Reference
Stage | When to Move | What Happens |
New Lead | Default on registration | Pre-event reminder sequence starts |
Confirmed Attendance | They answered and confirmed | Confirmation sequences |
Could Not Reach | After 3 attempts, no answer | Different messaging — keep calling |
Can't Attend | They answered and declined | Stops event reminders |
Goal: Work every lead out of "New Lead" and into an outcome stage before the event.
