Note: There is no 7-day or 3-day SMS reminder for any pipeline. The SMS cadence is shorter than the email cadence by design.
Confirmation Email
Sends immediately after RSVP (within 1β2 minutes of trigger).
- Confirms the registrant's seat and event date, time, and location.
- Sets expectations for a team call within the next day or two.
- Covers what to bring, when to arrive, and how to cancel if plans change.
- Includes the applicable compliance disclaimer.
7-Day-Out Reminder Email
Sends 7 days before the event.
- Reinforces the upcoming event and prompts the registrant to think about their biggest question to bring.
- Notes strong attendance and session engagement.
- Reminds them to invite their spouse/partner and to call at least 24 hours ahead if they can't attend.
- Includes the applicable compliance disclaimer.
3-Day-Out Reminder Email
Sends 3 days before the event.
- Creates urgency with a countdown framing.
- Directs the registrant to write down their top questions now, block the time on their calendar, and plan to arrive early.
- Reiterates that the session is at capacity and asks them to call immediately if they can't attend.
- Includes the applicable compliance disclaimer.
1-Day-Out Reminder Email
Sends 1 day before the event.
- Confirms the event is tomorrow with date, time, and location.
- Alerts the registrant to expect a confirmation call from the team.
- Provides a short tonight checklist (questions, phone reminder, directions).
- Emphasizes urgent cancellation instructions for the venue headcount.
- Includes the applicable compliance disclaimer.
Confirmation SMS
Sends immediately after RSVP (within 1β2 minutes of trigger).
- Confirms the registrant's RSVP and provides the event date, time, and location.
- Medicare / Estate Planning: Asks them to reply with "RSVP" to confirm their seat (and their guest's name if applicable). Includes an opt-out instruction.
- Retirement: Confirms the booking and notes that the team will call within the next day or two.
1-Day-Before SMS
Sends 1 day before the event.
- Brief reminder of the upcoming event with date, time, and location.
- Asks the registrant to reach out if they can't attend or need to make a change.
- Retirement: Also prompts the registrant to pick up the team's confirmation call and have their questions ready.
How This Affects Your Calling Strategy
The automated reminders create familiarity. Your phone calls create commitment. The two work together.
Two calling windows matter most:
Window 1: Right after they register. Call as soon as possible. They're still thinking about the event. This is when they're most likely to answer and confirm.
Window 2: The day before. This is your final confirmation call. A simple purpose makes it easy: "I just need a final headcount for the venue." This removes last-minute hesitation and reinforces their plan to attend.
Since the system sends its own reminder the day before, your call that day is a natural complement to it, not an overlap. Prospects who receive both the automated message and a personal call show up at significantly higher rates.
Timing Your Calls Around the Automated Sequence
Use the reminder schedule as a framework, not a constraint. You don't need to avoid calling just because the system sent something that day.
A good rhythm:
- Call immediately after RSVP (Window 1)
- Call again the next day if you didn't reach them live
- Continue varying your call times until you get a live conversation
- Make your final call the day before the event (Window 2), regardless of how many times you've tried before
The goal is a live conversation in each window, not just a voicemail. Keep calling until you either reach them or the event passes.
