30-Second Guide: Confirming Your Seminar

Learn the best practices for following up with RSVPs, including when and how to call attendees to ensure a higher attendance rate.

Best Practices for Following Up with RSVPs

Follow these tips to confirm attendance, improve rapport, and increase your seminar's attendance rate.

Step 1: Promptly Call New RSVPs

  • Gold Standard: Call RSVPs within 10 minutes of receiving their registration. Thank them for RSVPing and introduce yourself.
  • After-Hours RSVP: If the RSVP comes in during late evening, weekends, or holidays, call at the next appropriate time.

Step 2: Confirm Attendance 24-48 Hours Before the Event

  • Reach out to RSVPs 1-2 days before the seminar. Use this call to:
    • Confirm they plan to attend.
    • Ensure they have the event location details.
    • Build initial rapport, which can drastically improve attendance rates.

Step 3: Offer One-on-One Appointments (If Needed)

  • For RSVPs who respond, “Can’t attend but would still like assistance,” offer to set up a one-on-one appointment. Aim to schedule these with the same urgency as your regular RSVP calls.

Important Reminder

📞 Automated Reminders:

We send an automated confirmation email, a 3-day-out reminder, and a 1-day-out reminder. These automated messages are meant to support—not replace—your personal RSVP calls. Failing to call your RSVPs will almost certainly result in a lower attendance rate than desired.
